IEGS Student Care Process

  1. Identification of concern or problem by member of school
  2. Student concern / issue form filled out and turned into student(s) mentors
  3. Mentor will share form with House team during meeting (House team includes member of Student Care Team)
  4. Team will decide on appropriate course of action and record decisions in Student Care House Log. Head of House will manage this log. Log will contain the following:
    • Log will depict SMART plans (Simple, measurable, achievable, respectable, and time framed)
    • Log will record the specific people involved in plan
    • Log will record time frame for evaluating success of plan and record progress of plan
  5. House Team members that are involved in plan will carry out the actions and seek needed supervision and guidance from HoH and Care Team Representative.

Within the Student Care Process each member of the House Team plays a vital role in the success of the system working well. The system is only a tool to assist IEGS in creating a safe and secure learning environment. Using such a system will create a level of accountability within IEGS for meeting our expectations of parents, students, and the public eye. Here is a breakdown of more specific responsibilities:

The Student Care Team Representative is responsible for:

  1. Assisting HoH in facilitating Student Care aspect of House meeting
  2. Assisting House Team when coming up with strategies and SMART plans
  3. When called for provide services such as individual counseling, group counseling, and referral to community or agency for outside help
  4. Facilitate conferences with student and members of House Team
  5. Maintaining copy of Student Care House Log and reviewing relevant information at Student Care Team meetings every other week
  6. Inform House Team of any relevant information regarding student welfare without breaking confidentiality such as patterns that Student Care Team is becoming aware of, etc.
  7. Be accountable to Student Care Team and Administration (Phil Spires) to maintain active role as Representative for House and follow through on agreed plans which involve self

The Teacher is responsible for:

  1. Completing a Student Concern / Issue Form and turning it into Mentor for the particular student(s) when concern or issue is first detected
  2. Collaborating with House Team (fellow teachers and Student Care Team Representative) to develop SMART plan
  3. Meeting with student individually to guide student with Action Plan. Mentor will use Student Log Book as a reference point (self evaluating strengths and weaknesses, learning strategies, personal goals & action plan, and achievements)
  4. Go to Student Care Team representative or HoH for guidance, support, and any further concerns. If necessary work collaboratively with other members of House Team to fulfill the plan of action
  5. Understanding confidential nature of mentorship and have clear understanding of issues which cross boundaries (Suicidal thoughts or plans, plans or thoughts to hurt someone else, breaking laws, etc.) Care Team Representative will be available for continuous supervision of these issues and can provide education to staff when necessary

Head of House is responsible for:

  1. Facilitating House meeting and finding designated time during meetings to address Student Care Issues
  2. Maintain Student Care House Log in neat, organized fashion supplying Care Team Representative with copy
  3. Offering guidance and support to mentors on developing strategies and carrying out plans of action
  4. When necessary help coordinate Care Conference with House Care Team Representative to develop more specific plan of action (to be filed on School Soft in students record) HoH will help facilitate Care Conference with Care Team Rep and other necessary staff
  5. Seek supervision with Care Team Representative on any student concerns that HoH wants help with
  6. Maintaining a level of accountability with mentors regarding their role as a mentor by reviewing Student Care House Log on daily basis and monitoring plans and progress of student issues
